How to Use Payment Reports on Raklet?

Find, filter and export every payment across memberships, donations and events, see which coupons were used, and review action logs and flagged content in one place.

Reports is where you look up exactly what happened across your whole organization: every payment for memberships, donations and events, the refunds, the coupons that were used, the actions admins and members took, and the content members flagged. Each list can be filtered, opened and exported.

Reports is different from your dashboards. The Admin Dashboard and the app dashboards (Membership, Social and so on) show totals and trends. Reports shows the individual records behind them.

Open Reports

Click Reports in the left menu of your admin panel. You will see four tabs at the top of the page:

  • Overview: what needs your attention, and shortcuts to each list.

  • Payments: every payment, with filters, coupons and export.

  • Action Logs: a record of what admins and members did in your account.

  • Flagged Content: posts, comments, events and profiles that members flagged. A red badge shows how many are still open. Flagged Content is also available to admins who manage the social area, even without access to payments.

Super admins see everything while restrictive admins only see the tabs their role allows. See How to Create Roles to Restrict Access for Admins?

Overview

The Overview is your starting point. It has three parts:

  • Needs attention: refunds that Stripe has not settled yet, open flagged content, and members with debt (with the total amount owed). Click a row to go straight to that filtered list.

  • Find a record: shortcuts to search Payments or Action Logs.

  • Trends live on the dashboards: links to the Admin Dashboard, Membership, Social and Messages dashboards, where totals and charts are shown.

Payments

The Payments tab lists every payment in your organization: membership fees, donations and event tickets. Each row shows the member, the payment type, the payment date, the payment method, the status, the amount and the coupon used.

Filter Payments

Use the filters above the list, then click Filter:

  • Type: membership, donation or event. Choosing a type adds a second filter for a specific plan, donation campaign or event.

  • Payment Method: for example card or bank transfer.

  • Currency: show payments in one currency only.

  • Status: Paid, Refunded, Canceled, or Refund pending at Stripe. Use this to review your refund history.

  • Coupon: type a coupon code to see every payment it was used on.

  • Payment Date and Amount: equals, between, after or before a value.

  • Search: a member's name, a payment reference or a transaction number.

Click Clear all to reset the filters.

Read the Totals

Under the Payments title you will see how many rows match your filters, and the total amount for each currency in view. For example: 312 rows · TL 12,480.00 · $340.00 in view. If you collect payments in more than one currency, each currency is totalled separately, so you can reconcile without a spreadsheet.

See Which Coupons Were Used

The Coupon column shows the coupon applied to each payment, or a dash when there was none. It covers coupons applied at checkout, on an invoice, or on a member's subscription.

  • Click the Coupon column header to sort by coupon code (A to Z, then Z to A, then back to newest first). Payments without a coupon appear last.

  • Type a code in the Coupon filter to list only the payments that used it.

Refund or Open a Payment

Click a row, or Details at the end of it, to see the full payment. Admins who are allowed to edit contacts also see a Refund link on payments that can be refunded. Refunds are for the full amount, and the row's status changes to Refunded (or Refund pending at Stripe until Stripe settles it).

Export Payments

Click Export X rows at the top of the list. The export uses the same filters and sort as the list you are looking at, and includes the Coupon column. Raklet prepares the file and emails it to you.

Coupons on Event Tickets

To see which coupon each ticket buyer used for a specific event, open the event and go to its list of sold tickets. Turn on the Coupon column from the column picker (it is hidden by default, like Count, Billing and Notes). Each ticket shows the coupon code used, or a dash.

Action Logs

Action Logs is the audit trail of your account: profile edits, payments, membership changes, emails, logins and more. Filter by action group, action, date range and who made the change, and export the list when you need a record.

Flagged Content

When members flag a post, comment, event or profile, it appears here. Open the item to review it, or Dismiss the flag. Dismissed flags move to a separate list below, with who dismissed them and when.

Things to Know

  • Reports shows records. For totals and trends such as churn, renewals and revenue over time, use the Admin Dashboard and the Membership dashboard.

  • The coupon code matches regardless of upper or lower case.

  • If an invoice was deleted, a payment linked to it may no longer show the coupon that was applied.
