How to Reject a Membership Application with a Reason?

Decline a pending membership application, record why, and let the applicant know with an automatic "Application Rejected" email. Also covers bulk actions and what you see when a rejected applicant applies again.

Not every membership application should be approved. With the Reject action you can decline a pending application, record the reason, and let the applicant know by email, instead of deleting the application and leaving them guessing. Rejected applications stay on file, so you always have a record of who applied and what was decided.

Membership > Applications

Log into your account and go to Membership > Applications. You will see every application with its status: Waiting, Approved or Rejected. Use the status filter above the table to show only the applications you want to work on.

Reject an Application

Open the application with View Details, then click Reject next to Approve. Reject is available only while the application is waiting.

In the window that opens:

  • Reason: optionally write why the application is being declined. Whatever you type here is included in the email to the applicant exactly as written, so keep it clear and polite.

  • Send rejection email to applicant: ticked by default. Untick it if you want to record the decision without emailing the applicant.

Click Confirm.

The application moves to Rejected, and the detail page shows the reason, who rejected it and when.

What the Applicant Receives

If the email option is ticked, the applicant receives an Application Rejected email with a polite decline and your organization's contact details. If you entered a reason, it appears in the email under "Reason". If you left the reason empty, the email simply states that the application was not approved.

You can customize this email like the other automated templates. Go to Messages > Automated and choose an Application Rejected template.

When a Rejected Applicant Applies Again

Rejecting an application does not stop the person from applying again. If they submit the form again, a brand-new application appears with the status Waiting, and the rejected one stays in your records unchanged.

You will not review a returning applicant blind: the new application shows a Previously rejected notice with who rejected the earlier application, the date, and the reason that was recorded. With that context in front of you, you can approve or reject the new application as usual.

If the applicant skipped the payment step again, the application also shows a No payment method on file warning. You can still approve it: the membership is created together with an unpaid invoice, and nothing is charged automatically.

Approve or Reject Several Applications at Once

On the Applications list, tick the checkbox next to each application you want to act on, or use the select-all checkbox at the top of the column. A bar appears showing how many applications are selected, with Approve and Reject actions. Confirm the action and Raklet processes the whole selection, then shows you the result for each application.

Things to Know

  • No charge is made. Applicants are only charged when an application is approved, so rejecting never creates a payment or a refund.

  • Rejected applicants can apply again. A new application is created and the rejected one stays in your records. See the section above for what the new application shows.

  • Rejecting is not deleting. Delete still removes the application completely and sends nothing. Use Reject when you want a record and want the applicant informed.

  • Payment in progress. If an application is waiting for payment authentication, Reject becomes available once that step completes.
