How to Assign a Subscription Plan After an Offline Payment?

Learn how to manually assign a subscription plan to a member profile in Raklet when a payment is collected offline, ensuring the member’s access and benefits are updated correctly.

When to Use This Method?

  • A member pays cash or card on-site

  • Payment is processed outside of Raklet

  • You want the member’s membership card, check-in access, and benefits to activate correctly

Step-by-Step: Assigning a Subscription After an Offline Payment

From your dashboard, navigate to Admin Panel → Contacts and open the member’s profile: Admin > Contacts > Contact Profile > Membership > Add Subscription.

  • Select the relevant subscription plan (e.g., Premium Membership)

  • Set the start date (for example, January 1, 2026)

  • You can choose whether the subscription has no end date (auto-renews), or a fixed end date.

    • The subscription can also be a one-time one.

At this stage, the subscription will appear as Scheduled if it's not dated in the past.

The invoice will be generated automatically based on your subscription settings. Since it's paid offline, you can then add the payment record manually.

To reflect the offline payment:

  • Add a payment record manually

  • Enter:

    • Amount paid

    • Payment date

    • Payment method (cash, card, etc.)

    • Reference number if available

Once the payment is recorded, the member’s balance will update to 0.

After saving:

  • Refresh the member profile

  • The membership will now show as Active

  • The membership expiration date will be visible if available

How does this affect Membership Check-In?

  • Membership QR codes on the digital membership cards are dynamic.

  • Each scan directs to a live check-in page.

  • Any changes to subscription status, payment, or membership validity are reflected instantly

Once the subscription is active, instructors scanning the QR code will see the member as eligible to be checked in.

Member Access to Their Card

After the subscription is assigned, members can:

  • View their membership card

  • Add it to Apple Wallet or Google Wallet

  • Download it as an image

All updates are reflected automatically on the card.

Things to Know

  • Online payments do not require manual steps. Members can subscribe and pay directly.

  • Offline payments must be manually recorded to activate access.

  • If a subscription is scheduled but unpaid, check-in will remain disabled.

  • QR codes do not change; they always pull the latest membership status.
