  • Create an API key for Zapier

  • Authenticate Zapier with your Raklet account

  • Use Contacts trigger

  • Use Payments trigger

  • Use Contacts action

Important: Before reading this helpful article, we strongly recommend learning the basics of Zapier first. You can start with this Zapier article for more information.

Please note: Zapier integration is available for Premium customers only. If you don't have a premium plan, you can upgrade your plan below:

Don't have a Raklet account yet? Get started now:

Create an API key for Zapier

Navigate to Settings > API Tokens on your Raklet administration panel. If you don't have any API tokens, click on the "Create new API Token" button. Give a name to your API token, like "Zapier" and click "Create". Now you have an API token. Hooray!

Authenticate Zapier to your Raklet account

When you try to use a Raklet trigger or action in your Zap, you will need to create an authentication first.

Please fill in the API Token and Organization ID fields and click the "Yes, Continue" button. You can find this information on the API Tokens page. This will be enough to complete this step.

Use Contacts trigger

The contacts trigger allows you to get a list of your contacts, which you have filtered according to your needs, and use it on your Zap.

There are six filters on the Contacts trigger you can use.

With the Status filter, you can filter the contacts by "Active", "Deceased", "Resigned" or "Frozen" statuses.

Type the filter has five options: "Member", "Employee", "Potential Member", "Corporate Sub-Member" and "Corporate Member".

Created On is a DateTime filter. You can specify a date and time by using this filter. It allows you to filter by contacts created on the field. When you use Created On a filter, you should also use Created On Filter Type a field. This filter specifies the type of the Created On filter. This field has three options: "IS", "GREATER THAN", and "SMALLER THAN". For example, if you need to get a list of contacts that have been created since January 1st, 2020, you should set the Created On filter as 2020-01-01 and choose "GREATER THAN" on Created On Filter Type the filter. Or if you need to get the contacts that have been created on 31st August 2020, you should set the Created On filter as 2020-08-31 and choose "IS" on Created On Filter Type the filter. The default option Created On Filter Type is "IS".

The balance filter is for contacts' balances. It also has a supporter filter named Balance Filter Type. If you need to get contacts with negative balances, you need to set Balance the filter to 0 and choose "SMALLER THAN" on Balance Filter Type the filter.

After you configured the filters, you can test the trigger. You should get a success message like this:

And the trigger is ready! Now you can integrate this into any other application with Zapier. Have fun!

Use Payments trigger

The payments trigger gives you the recent payments on Raklet. The result data has:

  • Payment id

  • Customer name

  • Payment creation date

  • Payment amount

  • Payment currency

  • Payment method

You can see a sample result data below with a $1.00 payment with cash:

Use Contacts action

Raklet has three events on Contacts action:

  • Create Contact

  • Add Note To Contact

  • Add Tag To Contact

If you want to create a contact on your Raklet account, you should use the "Create Contact" event. You can set your new contact's Email Address, First Name, Last Name, Maiden Name, Member No, Corporate Name, Birth Place, Blood Type, Phone Country Code, Phone Number, Title, Address Details, Address City, Address Country, Address Postal Code, Contact Type, Gender, Marital Status, and Contact Status fields.

The "Add Note To Contact" event allows you to add a note to one of your contacts which can be specified by email address.

The "Add Tag To Contact" event does the same for tags, instead of notes. If the given tag has not been created before on Raklet, it will be created instantly and the specified contact will be tagged with this new tag. If a tag already exists, a new tag will not be created. The contact will be tagged with the existing tag instead.
